About Woke Chicago
Woke Chicago is a mission-driven nonprofit dedicated to empowering underserved youth through mindfulness and trauma-informed practices. We are looking for a passionate, organized, and detail-oriented Operations Coordinator (Volunteer/Intern) to join our dynamic team. This role offers hands-on experience in nonprofit management and is ideal for individuals eager to gain skills in operations, finance, and organizational support while contributing to a meaningful cause.

Key Responsibilities
• Calendar Management: Schedule meetings, events, and trainings; maintain organizational calendars.
• Email Management: Filter and respond to basic email inquiries, prioritize communications, and organize the inbox.
• Financial Management: Assist in categorizing and reconciling transactions, processing payroll, preparing invoices, and creating monthly financial reports.
• Compliance & Documentation: Ensure organizational compliance with CPS, City Colleges of Chicago, Secretary of State, and other regulatory bodies. Track W-9s, direct deposits, and contract files; support preparation of 1099s and other filings.
• Procurement & Inventory: Order office supplies, promotional items, and equipment; support management of the Woke Chicago team store.
• Document Management: Maintain employee and contractor records; assist with quarterly onboarding documents.
• Social Media & Communications: Collaborate with the media team to post updates to social channels. Help manage and update email lists, rosters, and contact lists.
• Additional Administrative Tasks: Respond to general inquiries and support other day-to-day organizational needs.

Qualifications
• Education: Coursework or degree in business administration, nonprofit management, accounting, or a related field (preferred but not required).
• Experience:
• Familiarity with administrative tasks (experience in a nonprofit setting is a plus).
• Comfortable handling sensitive information with confidentiality.
• Skills:
• Strong organizational and time management skills.
• Familiarity with Microsoft Office, Google Suite, and accounting software (e.g., QuickBooks, Xero) is a plus.
• Excellent written and verbal communication skills.
• Ability to work independently and collaboratively with a remote team.
